In Preparation for the Switch to QuickBooks Online: A Quick Nudge to Requisites

Brandon, MB -- (SBWIRE) -- 08/07/2019 -- There is a dearth of reasons why switching from QuickBooks Desktop to QuickBooks Online is prudent. Preparing for the switch, however, requires diligent scrutiny and preparedness prior to actually doing so.

John Rocha, E-Tech's Technical Services Manager highlights a few requirements prior to switching to QuickBooks Online, and reminds us of a few indicators. QuickBooks Online doesn't support importing multi-currency or international versions of QuickBooks Desktop and the QuickBooks file must be under 350,000 targets. If a file exceeds the size limit, the file would need to be condensed in order to successfully export it to QuickBooks Online. The audit trail of previously entered transactions does not convert from Desktop to Online, although QuickBooks Online has its own automatic Audit Log with a detailed audit trail of every transaction that is added or changed.

Going back to the reasons why one would consider the switch to QuickBooks Online is manifold, according to Rocha. The main however, is the ease of access to the online account wherever you go, automatically schedule and send transactions, the ability host multiple users – up to five users – as opposed to one user on QuickBooks Desktop.

QuickBooks Online also accommodates a uniform integration with third party applications. On the downside, it is important to remember that Credit Card charges are converted into an Expense. Bill payments made by credit cards are converted to bill payments. QuickBooks Online also currently doesn't support custom fields on customers, suppliers, employees or items, so these remain unconverted.

Following the conversion, Rocha stresses the importance of checking account balances in QuickBooks Desktop to match account balances in QuickBooks Online. "I would recommend running a full trial balance in both QuickBooks Desktop and QuickBooks Online for the end of the current month, and then compare the balances.

These limitations and prerequisites, however, need not stand as a hindrance, Rocha says, as "there is always a solution to what seems impossible".
